This position plays a critical role in ensuring accurate documentation, data integrity, program compliance, and operational support across violence prevention, outreach, case management, and behavioral health programs. The ideal candidate is proactive, professional, and capable of managing multiple responsibilities while maintaining confidentiality and strong attention to detail. This role supports program staff and leadership by helping maintain organized records, monitoring documentation quality, tracking compliance requirements, and assisting with day-to-day administrative operations. Key Responsibilities Include: Review participant files, case notes, and program documentation for accuracy, completeness, and compliance Assist with quality assurance (QA) processes and internal audits across programs and grants Maintain organized electronic and physical records in compliance with organizational and grant requirements Support data entry, reporting, and database management systems, including REDCap, spreadsheets, and internal tracking systems Assist with preparing documentation for grant reporting, monitoring visits, and compliance reviews Monitor staff documentation timelines and communicate missing or incomplete items to supervisors Provide administrative support, including scheduling, email communication, file management, meeting coordination, and document preparation Assist with onboarding documentation, training records, and staff compliance tracking as needed Support operational workflows and help improve administrative processes and organizational systems Maintain confidentiality regarding participant, employee, and organizational information at all times Collaborate with outreach teams, case managers, leadership, and administrative staff to ensure efficient operations Qualifications: Previous administrative, quality assurance, compliance, or office support experience preferred Strong organizational skills and exceptional attention to detail Experience with data entry, spreadsheets, Microsoft Office, Google Workspace, and database systems preferred Ability to manage multiple deadlines and prioritize tasks in a fast-paced environment Strong written and verbal communication skills Ability to maintain confidentiality and professionalism in sensitive environments Experience working within nonprofit, healthcare, behavioral health, social services, or violence prevention settings preferred Preferred Qualities: Self-motivated and solution-oriented Strong problem-solving and organizational abilities Ability to work independently and collaboratively within multidisciplinary teams Commitment to equity, trauma-informed practices, and community-centered work Ability to adapt within evolving program and grant environments Public Equity is committed to advancing community safety, healing, and equity throughout Chicago through violence prevention, outreach, behavioral health, and supportive services.
