Salary: $22 - $25

Position Summary

The Payroll Specialist supports the accurate and timely processing of payroll while maintaining payroll records and systems. This role assists with payroll data entry, timecard reconciliation, employee record maintenance, and payroll-related reporting. The Payroll Specialist works closely with the Payroll Manager and Payroll & Compliance Coordinator to ensure payroll processes are completed efficiently and in compliance with company policies and applicable regulations.

Essential Duties and Responsibilities

• Assist with the administration and reconciliation of payroll systems, including WorkMax and ServiceTrade.
• Enter and maintain payroll and employee data in payroll, accounting, and reporting systems.
• Support payroll processing by verifying timesheets, timecards, and labor distribution data for accuracy.
• Assist in obtaining required approvals and documentation for payroll processing.
• Process and post weekly payroll in accordance with established schedules.
• Create and maintain weekly active employee reports.
• Manage direct deposit setup requests and employee banking information.
• Process paper payroll checks for distribution as needed.
• Complete employment verification requests.
• Administer weekly active employee lists, pay stub distribution, and vacation pay requests.
• Submit weekly 401(k) and pension contributions.
• Administer wage garnishments, child support orders, and related payments.
• Maintain payroll records and documentation in accordance with company procedures.
• Provide payroll support and assist employees with payroll-related questions.

Qualifications and Skills

• Strong written, verbal, and interpersonal communication skills.
• Proficient in Microsoft Office applications, particularly Excel.
• Ability to maintain accuracy and attention to detail in a fast-paced environment.
• Strong organizational and time-management skills with the ability to manage multiple priorities.
• Ability to work independently while contributing effectively within a team environment.
• Ability to handle confidential information with discretion and professionalism.
• Demonstrated commitment to integrity, accountability, and ethical business practices.

Working Conditions

• Work is performed primarily in a standard office environment.
• Position requires extended periods of sitting and computer work.
• Occasional overtime, evening, or weekend work may be required to meet payroll deadlines and business needs.

Preferred Qualifications

• Previous payroll, accounting, or administrative experience.
  
• Experience with payroll software, timekeeping systems, and accounting applications.
  
• Knowledge of payroll regulations, wage and hour laws, garnishments, and employee benefit deductions.
