Open Records Coordinator

This position is only open to regular, full-time employees of Louisville Metro Police Department. The purpose of this position is to monitor and receive incoming requests for information from various portals for receiving open records requests. Conduct initial intake assessment. Refer open records requests to appropriate LMG agencies. This class works under general supervision, independently developing work methods and sequences.

Essential Functions The essential functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.

  • Monitors open records inbox and shared drives, and receives incoming requests for information from various portals for receiving open records requests.
  • Corresponds, and maintains records of correspondence, with LMG agencies in developing responses to open records requests.
  • Gathers and analyzes information for response to requesters.
  • Assists in the acquisition of electronic and hardcopy records from LMG agencies.
  • Executes redactions in accordance with the Kentucky Open Records Act, as needed.
  • Maintains open records requests in accordance with LMG Retention Schedules.
  • Coordinates with LMG agencies to ensure deadlines are met.
  • Participates in open records training and related employee education programs.
  • Provides updates, reminders, reports, and summaries.
  • Assists with searches of electronic records needed to fulfill open records requests.
  • Performs related work as assigned.

Minimum Education and Experience Requirements This position is only open to regular, full-time employees of Louisville Metro Police Department.

  • Associate degree in Information Technology, Business or Public Administration or related discipline.
  • One (1) year of experience in electronic information systems or related work

  • an equivalent combination of education, training and experience.

Other Minimum Requirements Must be of good moral character, with no criminal or felony record inconsistent with the provisions of this paragraph. Unacceptable will be persons who have been convicted of a felony, or who have any criminal action pending against them. Physical Demands Physical demands refer to the requirements for physical exertion and coordination of limb and body movement. Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
