Coordinator For Academic & Student Affairs

The New England Conservatory, an independent not-for-profit institution, is recognized internationally as a leader among music schools, educating and training musicians of all ages from around the world. As part of NEC's mission to make lifelong music education available to everyone, the Division of Expanded Education delivers training and performance opportunities for children, pre-college students, and adults.

The Coordinator for Academic & Student Affairs provides front-line operational support to the Office of Academic and Student Affairs, assisting with the office's daily administrative functions and core student support services, including advising operations, international student support, and accessibility resource services.

Working closely with the Director of Academic Advising Operations, the Coordinator also provides administrative support to the departments of Liberal Arts, Modern Languages, Music History, and Music Theory. The position facilitates communication, coordination, and administrative processes that support faculty, staff, and students across academic and student affairs.

This is a full-time, twelve-month position requiring an in-office presence during regular business hours (Monday through Friday, 9:00 AM to 5:00 PM). Limited hybrid flexibility of up to one remote day per week may be available during lower-traffic periods, subject to operational needs.

Essential Functions

Office of Academic and Student Affairs Operations

  • Provide front-line reception, responding to student inquiries and directing students to appropriate campus resources to maintain a welcoming and efficient office environment.
  • Monitor and respond to communications sent to the main OASA office inbox, ensuring timely and professional responses.
  • Maintain and update Academic and Student Affairs web pages, including supervising student employees responsible for newsletter and media content.
  • Manage office spaces by maintaining organized environments and coordinating office supply and equipment needs.
  • Provide administrative support to the Associate Dean of Student and Academic Affairs and other members of the Academic and Student Affairs team.
  • Assist with planning and coordination of major institutional activities including New Student Orientation and Commencement.
  • Serve as a liaison between the Office of Academic and Student Affairs and other departments across the Conservatory.
  • Hire, train, and supervise OASA student employees under the supervision of the Director of Academic Advising Operations and review student employee timesheets.
  • Support the Director of Academic Advising Operations with projects related to Jenzabar, the Conservatory's advising and registration system.

Academic Department Support

  • Serve as the primary administrative contact for the departments of Music History, Music Theory, Liberal Arts, and Modern Languages.
  • Support departmental operations by maintaining organized office spaces and coordinating supply and equipment needs.
  • Maintain departmental web pages and update information related to proficiency examinations, study guides, and academic materials.
  • Support the Director of Academic Advising Operations in the logistical planning and coordination of proficiency examinations as needed.
  • Prepare agreement letters, collect documentation, and process payments for guest artists and visiting lecturers.
  • Maintain records of departmental expenditures.
  • Administer the hiring process for departmental assistants, teaching assistants, and examination proctors under the supervision of the Director of Academic Advising Operations and relevant department chairs.
  • Review and approve student employee timesheets as part of departmental administrative operations.

Qualifications Required

  • Bachelor's degree and at least one year of experience in a high-volume office or administrative environment.
  • Strong organizational and administrative skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Demonstrated customer service experience supporting internal and external constituencies.
  • Ability to manage multiple priorities while maintaining accuracy and confidentiality.
  • Proficiency with common digital tools including Google Workspace, email platforms, and Canva.
  • Ability to learn and adapt to new digital systems and administrative technologies.

Preferred

  • Previous supervisory experience supporting student employees.
  • Familiarity with the needs of conservatory students or experience working in arts education environments.
