ABOUT THE ROLE
We are seeking a proactive and customer-focused Business Systems Analyst to
support daily order management, customer coordination, warehouse operations, ERP
system activities, and basic EDI support across multiple customers, vendors, and
distribution partners.
This role serves as a critical link between customers, sales, warehouses,
logistics providers, accounting, and internal operations teams to ensure orders,
shipments, inventory, and customer requests are processed accurately and
efficiently. The ideal candidate is highly organized, analytical, and capable of
managing multiple priorities in a fast-paced environment while delivering
excellent customer support.
KEY RESPONSIBILITIES
CUSTOMER SERVICE & ACCOUNT SUPPORT
* Serve as a primary point of contact for customer order inquiries, shipping
updates, and issue resolution.
* Coordinate with customers, warehouses, and carriers to resolve shipment
discrepancies, missing orders, and delivery issues.
- Support onboarding of new customers, vendors, and warehouse partners.
- Maintain strong working relationships with customers and internal
stakeholders.
- Respond promptly to operational issues and escalate concerns when necessary.
- Assist with customer-specific requirements, retailer compliance, and order
management processes.
ORDER & SUPPLY CHAIN COORDINATION
* Monitor and support order processing, shipping activity, inventory movement,
and warehouse transactions.
* Coordinate warehouse shipping orders, delivery updates, and shipment
confirmations.
* Assist with troubleshooting fulfillment, receiving, and inventory
discrepancies.
* Support frozen, retail, and warehouse distribution operations across multiple
locations and partners.
* Review freight costs, shipment routing, and operational reporting for
accuracy.
* Coordinate with third-party logistics providers and warehouse teams to
resolve operational issues.
ERP & EDI SUPPORT
* Maintain customer, vendor, item, and warehouse data within SAP and related
systems.
* Assist with user access requests, master data updates, and system
troubleshooting.
* Provide light support for EDI transaction monitoring and issue resolution,
including order and shipment documents.
* Coordinate with customers, vendors, and EDI providers to resolve basic
transmission or document errors.
- Support process improvements and operational workflow enhancements.
- Help maintain accurate system records and operational documentation.
- Participate in testing and validation for system updates and operational
changes.
REPORTING & OPERATIONAL ANALYSIS
- Prepare and maintain operational reports related to:
- Sales activity
- Customer orders
- Inventory and receipts
- Freight and delivery performance
- Warehouse operations
- Analyze operational issues and identify opportunities for process
improvement.
- Support recurring reporting and ad hoc business requests.
- Track open issues and follow through to resolution.
CROSS-FUNCTIONAL COLLABORATION
* Work closely with sales, accounting, logistics, customer service, and
warehouse teams to support business operations.
* Coordinate with external vendors, customers, and service providers to ensure
timely issue resolution.
* Participate in operational meetings, project coordination, and continuous
improvement initiatives.
* Assist with special projects and operational process improvements.
QUALIFICATIONS
REQUIRED SKILLS & EXPERIENCE
* Experience in customer service, supply chain, operations, logistics, or order
management.
- Strong organizational and multitasking abilities.
- Excellent communication and problem-solving skills.
- Experience working with ERP systems such as SAP.
- Strong Excel and reporting skills.
- Ability to work independently and collaboratively in a fast-paced
environment.
* High attention to detail and follow-through.
PREFERRED QUALIFICATIONS
- Experience supporting warehouse or distribution operations.
- Familiarity with retailer or customer compliance requirements.
- Exposure to EDI processes and transaction troubleshooting.
- Experience coordinating with third-party logistics providers (3PLs).
- Background in inventory management or shipping operations.
- Exposure to process improvement or workflow automation initiatives.
- Accounting or finance experience is a plus, including exposure to invoicing,
reconciliations, journal entries, deductions, or operational reporting.
LOCATION AND TRAVEL:
The position will be based onsite in Walnut Creek, CA. We strongly believe in
the power of culture and community and have a hybrid work structure with 4 days
in the office on a weekly basis to encourage collaboration and personal
connections that will allow us to better serve our customers and consumer and to
have more fun. Fridays are flex days with employees having the opportunity to
choose to be either in the office or to work from home based on what makes most
sense for them.
PAY TRANSPARENCY:
The expected starting salary range for this role is $105,000- $130,000 per year.
We may ultimately pay more or less than the posted range based on the location
of the role. The amount a particular employee will earn within the salary range
will be based on factors such as relevant education, qualifications, performance
and business needs.
